User Launches - User Guide

The User Launch tool within the Admin Portal is designed to help administrators in the vellum Admin Dashboard add multiple users and units to their account with ease. Once the user accounts are created, they can send invites to teams or individual users to sign up in the vellum Mobile App and join their teams. 

vellum recommends that users be attached to teams with five (5) or more individuals to realize the benefit of the vellum solution. Teams with less than four (4) individuals may not have the same experience as individuals who belong to larger teams. We recommend that team assignment takes place within the CSV file prior to upload. 



Step 1: Add Users

Users can be added either one by one, or by uploading a CSV file with the relevant user information. Required fields to create the new user are First Name, Last Name, Work Email and 1st Team Name. The Step 2: Add Units will allow you to either attach the teams you entered in the Add Users page to existing units, or create the new units using the Team Names you have entered in this page.

If a user you are trying to create already exists - their email is attached to an account - you will still be able to send them a user invite at the end of the User Launch process. A second account will not be created for the user.


Using CSV files to import users

You can use a CSV (comma-separated values) file to import users into your vellum account. When you use a CSV file, you can import users and their details at same time. This can be helpful if you want to invite many users to your vellum account at once.

If a user is on multiple teams, add a row for the user for each team (if a user is on 2 teams, add 2 rows). The first row will correspond to the primary unit the user is attached to. Every row after will be added as an additional unit to the user.

Step 2: Add Units

The units table is populated from the previous page based on the names of the teams. Each unit must be attached to an org before it can be created. Once you have selected an org for the team, you can either attach the team to an existing unit using the dropdown, or allow the unit to be created automatically using the name of the team. When saving this step, any teams not attached to an existing unit will be created as a new unit, and all user accounts will be created at this time, and be attached to the appropriate units on creation.


Bulk org selection

You can update the orgs for multiple teams at the same time by selecting multiple teams using the checkbox on the left-most column in the table, then selecting an org from the dropdown at the top of the table and clicking 'Apply Org'. This button will be enabled when there is at least one team selected and an org selected in the dropdown.



Step 3: Creating Accounts

This step tells you the current progress of user account creation - depending on how many users you are adding at once, this could take some time. No user action is needed on step 3.



Step 4: Send Invites

Once user accounts are created, you can send account invites to either entire teams or to individual users. Once you click 'Send Invites', an email will be immediately sent to the appropriate emails addresses prompting the user to sign up for a vellum account. The sign up process takes them through creating a password, entering their profile information, and downloading the vellum mobile app.

This page will update with current statuses of each invited user once the invite email is sent.
    - Account pending means the invite has been sent but the user has not created their account yet.
    - Account active means the user has successfully created their account.
